Bill Adjustment
Step 1: Click on Case Manager button from your Patient Registry page.
Step 2: Use the search engine to search for patient. Once you have searched and selected patient,
click the arrow button to proceed.

Step 3: You will be able to view Items dispensed and charges breakdown for the transaction selected.
Ensure correct patient and case number is selected before proceed to start adjustment.
Step 4: Scroll down until you see Bill Adjustment and click “Start Bill Adjustment”.
Step 5: Your user ID and date will appear as a line to record your adjustment. Proceed to click on the pen icon under the Actions column.

Step 6: You may choose to adjust the following items using this feature:
1. Change the Doctor tagged for the visit from the drop-down list.
2. Replace existing Medical Coverage.
a. Note that you only can replace but not completely delete the medical coverage.
b. If patient only has one coverage and second coverage is not visible – because it has not been added yet, proceed to patient profile > medical coverage tab > add in coverage and save. Then proceed to do the bill adjustment
3. Delete, add or amend current item quantity and item amount.
a. Click on the Qty (UOM) box / Final Amt ($) box to amend.
b. Click on Add new item to add items (search from the drop down):
c. Click on the Bin icon to delete the item line.
d. Once done, charges will add on or deduct accordingly at the charges breakdown section.
e. If there are added charges, it will reflect in the “Remaining Amount” box.
If the remaining amount is to be billed to the coverage, please add on to the coverage line.
If the remaining amount is to be paid by patient, please click on add another payment method button and add the payment line.
4. Reason / Upload documents
a. Reason – To select the appropriate reason from a drop-down list.
b. Uploaded Documents – To upload documents if required (allows multiple document upload).
c. Remarks – Free text option to allow users to indicate any information with regards to bill adjustment. Please key in your transaction ID here for any added card payments.
Types of scenarios to take note of:
– Patient tagged to wrong medical coverage / medical plan.
Solution: Add the correct medical coverage / plan and change the medical coverage on bill adjustment page.
– Private patient is tagged to a medical coverage, but patient is supposed to be billed cash.
Solution: On bill adjustment, change the medical coverage value to be $0.
Add another payment method and bill the whole amount to that payment method.
Add another payment method and bill the balance amount (minus the copay which will be reflected on the screen as well) to that payment method.
When adding charge code: Collect payment and do bill adjustment and add in the payment method.
When remove charge code: Refund process to be initiated before adjustment – refer to refund workflow. Once refund is approved, do bill adjustment and amend the case accordingly. If total amount is below $50 – refund done by petty cash.
